CALL FOR VOLUNTEERS


Each year our Society depends on support from members who volunteer to help at AMERICOVER. This year we are expanding our request to include additional jobs that have to be completed before our convention starts. Look at the two groups of listings below and decide if you can devote a few hours of your time to help, either before or during AMERICOVER 2010. Volunteers are not required to help all day at the show. Some of the jobs can be done in two hour shifts.

PRE-CONVENTION VOLUNTEERS NEEDED

Job: Prepare a pre-registration packet 6” x 9” envelope designed to hold tickets, ribbons, and name badge

Duties: Using lists of names provided by emails from our Pre-Registration Chairman, Exhibit Chairman, Program Chairman, and Convention Chairman, print a 2" x 4" white name label and affix to the upper left corner of a 6" x 9" top loading envelope to be filled with registration material and given to individuals when they arrive at the convention. Labeled envelopes should be alphabetized when they are brought to AMERICOVER.

Wednesday afternoon, before AMERICOVER, this PRE-REGISTRATION PACKET will have inserted a 3” x 4” name badge with neck cord, and two #6 envelopes containing tickets and name badge ribbons along with any other promotional material considered appropriate.

Skills: Ability to receive emailed database lists of names from AMERICOVER 2010 Committee Chairmen, prepares and prints computerized labels, and alphabetizes envelopes.



Job: From inventory provided, print and assemble AMERICOVER 2010 name badges to be placed in Pre-Registration Packets

Duties: Using names provided by emails from Pre-Registration Chairman, Exhibit Chairman, Program Chairman, and Convention Chairman, prepare a name badge for each person pre-registering for the convention. Each name badge (with neck cord) will be brought to the convention alphabetized for convenience. Neck cords do not have to be affixed to the name badge.

Wednesday afternoon, at AMERICOVER, the name badge (with neck cord) will be placed into a larger envelope designated as the PRE-REGISTRATION PACKET.

Skills: Ability to receive emailed database lists of names from AMERICOVER 2010 Committee Chairmen, print and assemble name badges to go into alphabetized Pre-Registration packets.



Job: Design and Print an Event / Menu Ticket for each person pre-registered for an event

Duties: Design admission tickets for the Thursday Tour, Friday President’s Banquet, Saturday night Cachet maker’s Night Owl Bourse meal, and Sunday night event. Using names from emailed lists provided by the Pre-registration Chairman, print tickets for persons registered for any event. In the situation where menu choices are pre-selected for a meal the menu option chosen will be PREDOMINANT in the design near the top of the ticket. Insert tickets into a #6 envelope labeled “TICKET(S)” with the name of the ticket owner on the front of the envelope. Bring envelopes to AMERICOVER alphabetized.

Wednesday afternoon, at AMERICOVER, the #6 TICKET(S) envelopes will be placed into a larger envelope designated as the PRE-REGISTRATION PACKET.

Skills: Ability to design tickets, receive emailed database lists of names from AMERICOVER 2010 Committee Chairmen, print tickets using a computer and place tickets into appropriately labeled #6 envelopes to go into alphabetized Pre-Registration packets.



Job: Using inventory provided, select Horizontal Adhesive Ribbons to go onto name badges

Duties: Using emailed name lists provided by Pre-registration Chairman, Exhibit Chairman, Program Chairman, and Convention Chairman, select appropriate ribbon(s) from inventory, and put them into a #6 envelope labeled “RIBBONS” with the name of the individual recipient on the #6 envelope.

Wednesday afternoon, at AMERICOVER, each #6 RIBBON(S) envelope will be placed into a larger envelope designated as the PRE-REGISTRATION PACKET. Envelopes should be alphabetized when they arrive at the show.

Skills: Ability to receive emailed multiple lists of names, select appropriate horizontal adhesive ribbons from inventory, and places them into appropriately labeled #6 envelopes to go into alphabetized Pre-Registration packets.



Job: Design, print and service 40 cacheted event covers for AFDCS Thursday Tour

Duties: Using information from the AMERICOVER 2010 Chairman, design and print an event cover in concordance with the Society’s Thursday Tour. Locally service 40 covers that day, August 5th, and give to members of the tour when they return at the end of the trip.

Skills: Ability to produce a cacheted event cover using medium selected by the volunteer. Knowledge about getting event covers hand canceled the same day as the event.



Job: Design, print and service 90 cacheted event covers for the President’s Banquet and Cachetmaker Awards Ceremony

Duties: Using information from the AMERICOVER 2010 Chairman, design and print an event cover in concordance with the Society’s Annual President’s Banquet and Cachetmaker Awards Ceremony. An estimated 90 covers will be needed to be serviced earlier in the day, August 6th, at the show, and given to participants at the Banquet.

Skills: Ability to produce a cacheted event cover using medium selected by the volunteer. Knowledge about getting event covers hand canceled the same day as the event.



Job: Design, print and service 40 cacheted event covers for AFDCS Sunday Post-Show Excursion

Duties: Using information from the AMERICOVER 2010 Chairman, design and print an event cover in concordance with the Society’s Sunday Evening Dinner. An estimated 40 covers will be needed to be serviced earlier in the day, August 8th, at the show, to be given to members attending the dinner when they return at the end of the trip.

Skills: Ability to produce a cacheted event cover using medium selected by the volunteer. Knowledge about getting event covers hand canceled the same day as the event.



VOLUNTEERS NEEDED AT AMERICOVER 2010

Society Registration / Information Table – 2 to 3 people

Duties: Hand out programs, pre-registration packets (containing badges and preprinted event tickets). Give directions to Dealer Bourse, Exhibit Frames, and meeting rooms.

Skills: Enjoy working with the public; Alphabetization

Days needed: Wednesday, Aug. 4, 5:00 p.m. to 7:00 p.m.
Thursday, Aug. 5, 8:00 a.m. to 5:00 p.m.
Friday, Aug. 6, 9:00 a.m. to 5:00 p.m.

NOTE: We are not asking you to work the entire day -- you can sign up for two hour intervals.



Exhibit Mounting / Dismounting – 5 to 10 people

Duties: Assist exhibitors in mounting their exhibits and securing frames (two screws in front of frame and two screws in bottom of frame); Mount / Dismount exhibits of individuals not present.

Skills: Securing frames requires bending or kneeling on floor for lower screws. For mounting and dismounting previous experience as an exhibitor or volunteer at other shows is helpful.

Days Needed: Thursday, Aug 5, 5:00 p.m. to 9:00 p.m.
Sunday, Aug. 8, 4:00 p.m. to 6:00 p.m.

Dealer Check-in – 2 people

Duties: Record arrival of dealers, hand out programs and additional information for dealers, show dealers location of their booths on a floor plan.

Skills: Read a floor plan, find alphabetized dealer information.

Days Needed: Thursday, Aug. 5, 6:00 to 10:00 p.m.

AMERICOVER Bourse Registration / Information Table – 2 people

Duties: Register visitors to show, hand out show programs and buttons, and give directions to Exhibits and Meetings. Answer general questions about the convention.

Skills: Enjoy interaction with people, Ability to work in a busy area, have a general knowledge of AFDCS.

Days Needed: Friday, Aug. 6, 9:00 a.m. to 5:00 p.m.
Saturday, Aug. 7, 9:00 a.m. to 5:00 p.m.
Sunday, Aug. 8, 9:00 a.m. to 4:00 p.m.

AFDCS INFORMATION / SALES TABLE

Duties: Provide information to visitors about AMERICOVER 2010 activities, Society literature, AFDCS membership, sell covers and other souvenirs.

Skills: Enjoy interaction with other people, general knowledge about AFDCS,

Days Needed: Friday, Aug. 6, 10:00 a.m. to 5:00 p.m.
Saturday, Aug. 7, 10:00 a.m. to 5:00 p.m.
Sunday, Aug. 8, 10:00 a.m. to 4:00 p.m.

Society Youth Activities – 2 people

Duties: Assist youth in prearrange activities, answer basic questions about stamp and FDC collecting as well as cachet making.

Skills: Enjoy interaction with youth, general knowledge of FDC collecting, cachet making, and stamps.

Days Needed: Friday, Aug. 6, 10:00 a.m. to 5:00 p.m.
Saturday, Aug. 7, 10:00 a.m. to 5:00 p.m.
Sunday, Aug. 8, 10:00 a.m. to 4:00 p.m.

NOTE: We are not asking you to work the entire day -- you can sign up for two hour intervals.



Seminars and Meetings - 1 person

Duties: Post daily show schedule and signs, insure meeting rooms are set with proper equipment; announce meetings over the public address system, collect attendance reports from speakers at meetings.

Skills: Physical ability to walk between meeting rooms; good public speaking voice.

Days Needed: Friday, Aug. 6, 9:30 a.m. to 5:00 p.m.
Saturday, Aug. 7, 9:30 a.m. to 5:00 p.m.
Sunday, Aug. 8, 9:30 a.m. to 4:00 p.m.
